Position Overview

The HRIS Manager will be responsible for the support and maintenance of all HR systems. He/she is also required to work both internal and external stakeholders and partner IHiS to gather and analyse business requirements and drive the planning, development, testing, and implementation with the objective of helping the organisation meets its strategic goals.

Responsibilities

  1. Fulfil deliverables related to system enhancements / upgrades / changes due to statutory requirements
  • Engage stakeholders to discuss on new requirements / changes in requirements due to process improvement / enhancement / streamlining
  • After the requirement gatherings, conduct a review with IHiS and IT vendor on the feasibility and solutions. Present the recommendation (including impact analysis and proposed solution) for discussion internally
  • Follow up on the procurement / approval process on the budget required change request / system enhancement
  • Review UAT plans with vendor. The incumbent may be required to perform & coordinate UAT activities (including integration with other external systems, if any)
  • Along with the implementation plan, to ensure all documentations, system specifications & integration requirements are updated in accordance with the approved requirements.
  1. Provide day-to-day system support (including providing guidance to helpdesk)
  • Serve as subject matter expert on system issues and provide recommendations / solutions as required to support the smooth-running of HR operations.

  1. Function as Subject Matter Expert on system
  • Ensure user adoption of the new platform and conduct user training for HR staff / administrator, when required.
  • Ensure system/ services are in compliance with professional standard, legal and regulatory requirements related to labour law, data protection, recordkeeping and reporting standards.
  • Participate in periodic HRIS Committee meeting with IHiS & vendors to discuss on system-wide changes / enhancements raised by clusters and review the impact to users.
  • Proactively identify new trends and technologies for process enhancement & improve efficiency of HR functions.
  • System account management and budget planning. This includes tracking of all system related cost to different vendors (i.e., hosting fees, licensing cost).
  • Perform bi-annual audit on system access.
  • Ensure all system-related processes/SOPs are updated timely

  1. Maintain the integrity of data held within HRIS
  • Ensure proper control / processes are in place to address data quality and reliability
  • Ensure data is handled and processed in accordance with the Information Classification Protection Framework as well as compliance with PDPA.

Requirements

  • Degree with at least 5 years' experience in HR systems/ project management supporting end-users in HRIS project implementations (specifically with SAP SuccessFactors' implementation experience)
  • Exposure to one of more of the following other areas is an advantage: Industrial Relations, Compensation & Benefits
  • Strong understanding of HR policies and processes
  • Ability to work within tight deadlines and engage stakeholders and partners from all levels
  • Strong analytical and problem-solving skills
  • Proficient in advance excel (preferably knowledgeable working with Excel VBA Macro)
